4-step timeline

  1. Kick-off call
    We agree on your focus areas, who needs to be involved and what “good” looks like for you – whether that’s being ready for CQC questions, reassuring your board or getting ahead of staff using AI informally.
  2. Short discovery
    We conduct a handful of remote conversations and review existing documents, including policies, system lists, example care plans, reports, and any AI tools you are already familiar with. No big workshops or long surveys.
  3. Mapping & review
    We build your AI & automation map, a simple risk snapshot and a list of practical efficiency ideas – all sized for a single home or small group, not a national chain.
  4. Walk-through & action list
    We break down the findings in plain English, answer questions and agree on a realistic action list. You get written outputs you can keep live and update as your AI use evolves.

The Panel is advisory – it doesn’t “approve” services or act as a regulator – but it does challenge how we design our audits, templates and training, so they stay:

The aim isn’t to flood you with paperwork. It’s to give you just enough structure so AI becomes something you can explain, improve and evidence.

Questions registered managers usually ask

Q1. Will this create more work for my team?

A. We keep it as light as possible. Most homes involve a handful of people for short calls and share documents you already have. The goal is to reduce future headaches and paperwork, not add to them.

Q2. Do we need to be “techy” to get value from this?

A. No. We work in plain English and focus on your real processes, not on algorithms. You don’t need a data team – just a willingness to talk honestly about how digital tools are used today.

Q3. Will you tell us which AI tools to ban or allow?

A. We won’t hand you a rigid yes/no list. Instead we help you set simple guardrails: where AI is clearly low-risk and helpful, where it needs supervision or DPIAs, and where it’s not appropriate for your service.

Q4. Does this replace our DPO or legal advice?

A. No. The Audit supports your Data Protection Officer, IG lead and advisers by giving them a structured AI register, risk view and draft materials they can build on. Final decisions always sit with your organisation.

Q5. Is this a one-off, or can you support us over time?

A. The Audit is a self-contained piece of work. Some providers then choose a light governance and automation retainer so they can review AI use quarterly, keep documents up to date and get quick answers to new questions.
